How the work happens

How IT consulting actually works with us.

Four steps from the free IT assessment to the day you outgrow us. No mystery middle, no pitch decks, no renaming the obvious.

Quick translation before the steps: the Helix Score is a credit score for how your business runs. One number from 100 to 900, built from four areas we call CTGA: Controls, Technology, Growth, and Adoption.

Three different things. The free call is how we start. CTGA is the method we score you against. The Helix Score is the number you walk out with.

  1. Free IT Assessment

A quick call. We cover all four CTGA pillars and you walk out with your top three gaps in writing.

  2. We map the gaps

We score what’s broken and hand you the priority list, yours to keep regardless.

  3. We come in and build

Network, stack, automations. We do the work, not just the roadmap.

  4. We stay until you outscale us

Retainer advisory until you need a full internal team. We hand off clean.

The five expensive habits

What is quietly costing Hampton Roads businesses money.

Why we're different

Method. Map. Free IT Assessment.

Three things change when Helix Stax is in the room: how the IT work gets scored, where it happens, and how the first conversation costs you nothing.

  • Method

The CTGA framework scores every engagement across Controls, Technology, Growth, and Adoption. You see the number before you sign anything, and you watch it move every quarter the work is in.

  • Map

Hampton Roads operators get on-site assessments and a partner in the same time zone. Newport News, Norfolk, Virginia Beach, Chesapeake, Portsmouth, Hampton, Suffolk. We work where you work.

  • Pulse

Sixty minutes, free, no upsell pitch. You walk out with your CTGA score and the three gaps the data says will cost you the most this quarter. If we're not the right fit, you keep the score.

The CTGA Framework

A credit score for how your business runs.

The CTGA Framework scores your operations on Controls, Technology, Growth, and Adoption. One number from 100 to 900. You walk out of a free IT assessment with your top three gaps named and an estimated score.

Four pillars: two for your systems, two for your people.

Systems

Controls

The stuff that gets you fined: Compliance and risk

Pass the audit you don't see coming.

Compliance deadlines, vendor agreements, and the documentation that matters most on the worst day. Most businesses have the rules OR the enforcement, not both.

What we audit: policy ownership, audit-trail completeness, vendor-risk posture

Systems

Technology

The tools nobody uses right: Tools and systems

Stop paying for tools nobody uses.

Every tool, platform, and integration your business runs on. Most stacks we audit have software nobody opens anymore.

What we audit: license utilization, integration health, recovery readiness

People

Growth

The leads you're losing: Revenue and leads

Stop losing leads you already paid to get.

How customers find you, how leads convert, and how revenue scales. 62% of calls go unanswered. Leads contacted within 5 minutes convert at 100x the rate.

What we audit: lead-response time, pipeline hygiene, brand consistency

People

Adoption

The team that can't run without you: People and process

Your team adopts the tools, or we stop buying them.

Where the other three pillars succeed or fail. A tool nobody uses is a subscription fee. A process nobody follows is a document on a shelf.

What we audit: onboarding completion, usage analytics, change ownership

Questions

The things you're probably wondering.

An IT consulting firm helps a small business decide what to build, what to buy, what to retire, and how to run it without burning the team out. It is not the same as an MSP, which keeps existing systems running. It is not the same as hiring an internal IT person, who handles day-to-day. And it is not a marketing agency. Consulting is the strategy and implementation layer between those three.

CTGA scores your operations on four pillars: Controls, Technology, Growth, and Adoption. Each pillar gets a number, and the four roll up to a single composite score from 100 to 900. The bands read like a credit score: 100-300 is exposed (real risk, real money leaking), 400-600 is operational (it works but it is brittle), and 700-900 is compounding (systems making the business better as it grows).

A free IT assessment with our team. No intake form, no demo, no pitch deck. We cover your IT operations across all four CTGA pillars and you walk away with your top three gaps, an estimated Helix Score, and a plain-English summary of what is broken. You own the results. Take them to whoever you want.

The free call is free, always. Beyond that, every engagement is tailored to your business and scope. We do not publish prices or quote in chat. We go over the real numbers with you on the call.

No. Helix Stax is an IT consulting firm. We do strategy, system selection, implementation, compliance work, and ongoing advisory. We do not run a 24/7 helpdesk and we do not sell managed antivirus by the seat. When clients need full-time helpdesk or device management, we hand them to an MSP partner in the Hampton Roads area and stay involved on the strategy side.

Either. We have done both. If you already have an internal IT lead or an MSP, we sit on the strategy and architecture side and they keep the lights on. If you have nobody, we run the function until you hire someone, then we hand it off cleanly with documentation. The engagement tier sets the shape: lighter retainers stay advisory, deeper engagements get embedded.

Yes. We run CMMC Level 2 readiness work and full NIST 800-171 control implementation for Newport News defense contractors, shipyard suppliers, and DoD prime subcontractors. The engagement covers gap assessment, System Security Plan authoring, POA&M tracking, and the actual technical control work (endpoint hardening, audit logging, encrypted storage) that a C3PAO assessor will open the laptop to verify.

Yes. We work with DoD prime subcontractors and shipyard suppliers across Hampton Roads, including suppliers feeding Newport News Shipbuilding and the broader Huntington Ingalls Industries supply chain. The work usually combines CMMC Level 2 readiness, NIST 800-171 control implementation, secure infrastructure design, and audit preparation. We have not done a CMMC Level 3 engagement yet and we will say so on the first call.

Yes. Hampton Roads is the home base, not a fence. We currently run an out-of-state client engagement and we take remote work anywhere in the continental US. On-site visits cost more outside the region because of travel, but most of the assessment, design, and ongoing advisory work runs over video and screen-share without losing anything.

The client owns everything we produce inside the engagement. That includes documentation, configurations, automation code, runbooks, vendor accounts, and the data behind your CTGA scores. Helix Stax retains the CTGA framework itself and the internal tooling we use to score and track engagements, but those are not deliverables. If you walk, you walk with your stuff.
